Out of concern for the health, safety and well-being of our community, we are transitioning our 53rd Annual Transmission & Substation Design & Operation Symposium (2020 TSDOS) from an in-person event to a dynamic and interactive
Virtual Conference on Wednesday, September 9 Thursday, September 10. Our team has put together the following FAQs to address commonly asked questions about the transition from in-person event to a virtual event.

Why are you transitioning the 53rd Transmission & Substation Design & Operations Symposium Conference to a virtual platform?
The current health concerns within our communities dictate our decision to move to a virtual platform.

What is a virtual Conference?
A virtual conference is hosted entirely over the Internet. It allows attendees to access live and prerecorded presentations and Q&A from their computers or mobile devices. Attendees participate through a conference website designed specifically for the virtual conference. The site is where you will watch conference presentations, participate in panel presentations, and question/answer sessions in real time, and network with vendors and other conference colleagues.

What should I expect at the 2020 TSDOS virtual conference?
Over the course of two days, we will bring you keynote presentations, panel discussions, and interactive sessions with real-time Q&A via our web-streamed conference platform. Attendees will also participate in Q&A with speakers, network with other attendees, and meet with vendors.

Our robust online exhibit floor experience will allow vendors to demo their products, share videos, download documents, hold one-on-one and group meetings with attendees. If you are not able to join all sessions in real-time, you will have access to view all portions of the event for up to two weeks after the conference. Before the conference, we will share instructions on where to login to the virtual event and instructions on navigating the platform. If you need further assistance during the two-day conference, you will have access to a UTA managed virtual help desk. You can look forward to the following:

  • Earning required CEU and PDH credits, including 1 hour of Ethics.
  • Participating in sessions and visit vendors for a chance at winning door prizes.
  • Gaining access to numerous networking possibilities within the virtual exhibit floor.



I would like to view the virtual platform before I register for the 2020 TSDOS conference.
You can view an alternate virtual event produced by the vendor that UTA has contracted for TSDOS. The PDF of the alternate event will give you an idea of what you can expect from TSDOS. Each virtual platform is designed to meet the specific needs of the conference, so this is not an exact reflection of the TSDOS virtual platform. Will I need to download any software to participate in the TSDOS virtual conference?
No. The website hosting the virtual conference will not have any plugins or require you to download any software.



Registration
To show our appreciation of your support during this year of transition, we will be extending the early bird $395 attendee fee until September 25, 2020. In addition, all 2020 registered conference attendees will receive a $75 discount on their 2021 TSDOS registration fee.

What if I already registered and submitted payment for the 2020 TSDOS conference?
No action is required on your part.

Will I receive a refund if I cancel my registration?
Refunds are not permitted; however, you may escrow your funds for the 2021 in-person conference.
Please note: The deadline to request an escrow is August 21, 2020.

Professional Development Hours (PDHs) or Continuing Education Units (CEUs)

Are PDHs or CEUs offered to paid participants attending the virtual conference?
Yes. You will be eligible to receive professional development hours for the sessions that you attend.

What if I am unable to attend the conference on September 9 or September 10?
You have two weeks after the conference to view the sessions and receive professional development hours.



Travel and Accommodations

I have booked hotel accommodations using the conference rate at the Embassy Suites Dallas-Frisco/Hotel Convention Center & Spa or one of the overflow hotels for the 2020 TSDOS in-person conference. Should I cancel my reservation?
No action is required on your part. The hotel will cancel your reservation and send you a confirmation of cancellation.

I have booked hotel accommodations outside of the conference room block. How do I cancel my reservation?
If you reserved outside the conference room block at the Embassy Suites, you will be responsible for cancelling your own reservation.



Event Sponsors

I am a confirmed sponsor for the 2020 TSDOS conference. What action do I need to take?
No action is required on your part. Your sponsorship fees will transfer over to the virtual conference. You will receive an email confirming your sponsorship details.

Will the sponsorship benefits change for the 2020 TSDOS conference?
Yes, a few of the sponsorship benefits will change. UTA will contact each sponsor individually to discuss how the move to a virtual platform will impact your sponsorship benefits.

Do I need to submit my company logo for the 2020 TSDOS virtual conference?
No. We will publish the logo that you have already provided for the 2020 TSDOS conference.



Events Vendors

I am a confirmed vendor for the 2020 TSDOS conference. What action do I need to take?
No action is required on your part. You will receive an email confirming your exhibitor registration details.

As a vendor, do I need to register additional staff?
No. You will only need to register one person as a vendor to manage your virtual booth.

What if I have already registered additional vendor booth staff?
We will place the additional vendor staff registration funds in escrow for the 2021 TSDOS in-person conference.

What if I do not want to participate this year as a virtual vendor?
